Federal Apostille from the U.S. Department of State, Handled for You

Only one office issues a federal apostille: the U.S. Department of State Office of Authentications in Washington, D.C. We are not that office. Instead, we prepare and file your federal document with it, starting with FDA certificates.

We tell you in writing which office applies before we start

Federal apostille: from the signed federal document to the Office of Authentications

A private service, not the Department of State

Apostille de la Haya is the trade name of Riveros International Business Corp, a private company registered in Florida. We are not the FDA, the U.S. Department of State or an embassy, and none of them endorses us.

We file federal documents that you already hold. We do not issue or request federal documents, and the Office of Authentications alone decides whether to apostille them.

You can also file directly with that office. Our fees cover the review, the request form, the follow-up and the shipping, on top of the official fee.

Before you file

Four reasons a federal apostille comes back

No original signature

A plain copy or a printout without the agency seal does not meet the original signature and seal requirement.

A state document in the federal pile

Birth certificates and other state records get their apostille from the issuing state, not from Washington.

An incomplete DS-4194

Requests go with Form DS-4194. A missing field or the wrong destination slows the whole file down.

A non-Hague destination

For countries outside the Convention, the office issues an authentication certificate instead, and the embassy follows.

Who issues it

Who issues a federal apostille, and what the office checks

A federal document carries the signature of an official of a U.S. government agency, such as the FDA, which is part of the Department of Health and Human Services.

The Department of State’s own manual names the Office of Authentications as the competent authority for apostilles on documents that federal officials sign. It also calls for the original signature and the agency’s raised or stamped seal.

Meanwhile, state documents follow a different path. Each state’s Secretary of State applies the apostille to its own records.

The process

How our federal apostille service works

Exporter's office with a folder of documents, cartons ready to ship and the port in the background
01

We confirm it is federal

We look at who signed the document and which seal it carries. If it turns out to be a state record, we point you to the right state.

02

We prepare the request

We complete the request form and confirm the destination, so the office knows whether to issue an apostille or, for the UAE, Qatar, Kuwait, Egypt or Iraq, an authentication for legalization.

03

We file, track and return it

We file with the Office of Authentications and update you at each stage. Then we ship the document back with tracking.

Timelines

Timelines: the office sets them, not us

The Office of Authentications sets its own processing time, and that time shifts with its workload. That is why we never promise a number of days.

We do control our side, though. With Express service we speed up the review, the request and the return shipping.

Why us

Why exporters use our federal apostille service

We apostille FDA certificates regularly, and we also handle the apostille of FBI background checks, which have their own page. If you like, we confirm the route in writing before you order.

The Department of State publishes its authentication guidance. In addition, the Hague Conference keeps the official list of member countries. The FDA, for its part, describes its export certificates. Finally, here is our privacy policy.
